How to Sync Your Wholesale Flower Catalog to Shopify

John Calder, Founder of PetalPost·March 12, 2026 (Week 2 — Thursday/Friday)

You have a wholesale flower catalog. You have (or want) a Shopify store. The question is: how do you get your products from one to the other without entering 500 items by hand?

This is one of the most common questions I hear from wholesale florists. And the answer is simpler than you think.

Why Shopify?

Even if your primary business is wholesale (B2B), having a Shopify presence makes sense for a few reasons:

Visibility. Florists searching for wholesale suppliers online will find your Shopify store. It's an extra discovery channel.

Retail opportunity. Some wholesalers sell direct-to-consumer for events, weddings, or seasonal peaks. Shopify handles that beautifully.

Credibility. A professional Shopify store tells potential B2B customers that you're a real, established operation.

Marketing. Shopify has built-in SEO, email marketing, and analytics. Even if most of your business happens through your B2B portal, Shopify extends your reach.

The Problem With Manual Entry

Shopify is great, but entering wholesale products manually is painful:

  • Product count. Wholesale catalogs often have 200-2,000+ products. That's hours of data entry.
  • Variants. One rose variety might have 3 stem lengths, 4 pack sizes, and 3 pricing tiers. In Shopify, that's 36 variants per product.
  • Photos. Uploading and assigning photos one by one for hundreds of products? Nobody has time for that.
  • Updates. Prices change. Availability changes. New products come in weekly. If you're updating Shopify manually, it's never current.

The Sync Approach

Instead of entering products into Shopify directly, maintain your catalog in a wholesale-focused platform and sync it to Shopify. This means:

  1. You manage products in ONE place (your wholesale platform)
  2. Changes push to Shopify automatically (or with one click)
  3. Photos, pricing, inventory, descriptions — all synced
  4. New products appear on Shopify as soon as you add them to your catalog

This is how the bigger operations handle it. They don't manually update two systems. They update one and let it flow.

Step-by-Step: Syncing Your Catalog

Step 1: Get Your Catalog Into a Wholesale Platform

If your products live in a spreadsheet, import them into your wholesale platform first. This is your source of truth — every product, photo, price, and variant lives here.

Step 2: Connect Your Shopify Store

Most wholesale platforms with Shopify integration need two things:

  • Your Shopify store URL (e.g., yourstore.myshopify.com)
  • An API access token (generated in Shopify admin under Apps > Develop apps)

Once connected, the platform can read from and write to your Shopify store.

Step 3: Map Your Data

Before syncing, decide how your wholesale data maps to Shopify:

  • Product title → Shopify product title
  • Description → Shopify product description
  • Photos → Shopify product images
  • Price → Shopify variant price (which tier? Usually your retail or default price)
  • Pack size → Shopify variant option
  • SKU → Shopify variant SKU
  • Inventory count → Shopify inventory quantity

Good sync tools handle this mapping automatically. You shouldn't have to configure every field manually.

Step 4: Push Products

With everything connected, push your catalog to Shopify. Depending on the platform, this might be:

  • A "Sync to Shopify" button
  • An automatic push whenever you update a product
  • A scheduled sync (daily, hourly)

The first push takes the longest (creating all products). After that, syncs are incremental — only changes get pushed.

Step 5: Verify on Shopify

After the initial sync, check your Shopify store:

  • Are all products there?
  • Do the photos show up correctly?
  • Are prices right?
  • Do variants (stem length, pack size) look correct?

Fix any issues in your wholesale platform (not in Shopify) and re-sync. This keeps your wholesale platform as the single source of truth.

What About Pricing?

This is where wholesale florists get tripped up. Your B2B pricing (tiered, per-customer) is different from your Shopify pricing (usually one price per variant).

Here's how to handle it:

For B2B: Your wholesale platform handles tiered pricing. Each florist sees their tier when they log into your portal. This has nothing to do with Shopify.

For Shopify: Push your retail or default price to Shopify. This is what consumers or unknown visitors see on your Shopify store.

Don't try to run B2B pricing through Shopify. Shopify's B2B features are locked behind Shopify Plus ($2,000/month) or expensive apps. Use a dedicated wholesale platform for B2B and Shopify for retail/visibility.

Ongoing Maintenance

Once the initial sync is done, maintaining it is simple:

  • Add new products in your wholesale platform → they appear on Shopify automatically
  • Update prices in your wholesale platform → Shopify prices update
  • Update inventory in your wholesale platform → Shopify shows current stock
  • Add photos in your wholesale platform → they push to Shopify

You never log into Shopify to update products again. Your wholesale platform is the single source of truth.

Common Mistakes

Editing products in Shopify after syncing. If you change a product directly in Shopify, it might get overwritten on the next sync. Always make changes in your wholesale platform.

Syncing too many variants. Shopify has a 100-variant-per-product limit. If your wholesale catalog has complex variant structures, simplify for Shopify. Your B2B customers can handle complexity through your portal.

Forgetting to sync inventory. Products without inventory quantities show as "out of stock" on Shopify. Make sure inventory counts are syncing, not just product data.

The Bottom Line

Don't maintain two separate product catalogs. Set up your wholesale catalog in a platform that syncs to Shopify, and manage everything from one place.

Your wholesale platform is your source of truth. Shopify is one of many channels it feeds. This approach scales whether you have 50 products or 5,000.
